Booking Terms and Conditions

Holiday Camps:

Please make sure that we have a mobile number to contact you in case of an emergency and email address in order to contact you regarding billing, updates and any changes to disclaimer or policies, if necessary.

You agree, as a parent or guardian, that you when you drop off your child for their camp / session you will not be permitted to enter the hall while classes are taking place.

Parental photography or use of mobile phones is not permitted in camps / sessions.

You agree to ensure your child wears the appropriate clothing as specified at the time of booking and failure to do so may result in the child not being able to take part in any/all activities.

Child participants (those under the age of 18) must have a parent or guardian sign a waiver/disclaimer before being authorised to take part in any Cotswold Clubhouse activity.

The participant acknowledges and accepts that their participation in the activities provided by Cotswold Clubhouse Ltd entails known and unknown risks that could result in physical or emotional injury, paralysis, death or damage to themselves to property or to third parties. Cotswold Clubhouse Ltd and staff who work here will not be held responsible if an injury happens to yourself or your child.

The participant further acknowledges that the activities provided by Cotswold Clubhouse Ltd require a reasonable level of fitness and ability which the participant acknowledges that they possess;

The participant acknowledges and agrees that they are responsible for their own safety and the safety of others whilst partaking in the activities.

The participant understands that the activities are undertaken with coach supervision and will ensure that they comply with all instructions given at any time during the activities by Cotswold Clubhouse Ltd Coaches or any of its staff.

The participant agrees that they will only carry out activities that are within their skill level and of which they are able to retain control of at all times. Activities are performed at the participants own risk.

The participant warrants that they do not have any medical condition nor have had any medical condition which may make their participation in the activities more dangerous or may increase any risk of injury to them or others; or make it more likely that they will be involved in an incident which could result in injury during the activity. All medical conditions and injuries must be reported to a member of staff.

The participant acknowledges that Cotswold Clubhouse Ltd is not and shall not be liable for any damage or loss which the participant may incur or any damage or loss to them to any third parties or property however incurred whilst the participant is undertaking the activities at Cotswold Clubhouse Ltd or any premises it is using for the club.

The participant agrees and promises to accept to be responsible for any and all risks existing and subsisting in the activity from time to time and acknowledge that their participation in the activity is voluntary and that they elect to participate despite of the risks and agree to accept the consequences of so doing save only to the extent that North Cotswolds Gymnastics & Trampolining Academy by law is not permitted to exclude such liability.

Paying fees

• That I will ensure Camp / Session fees are paid in full before the start of the Camp / Session without need for reminder. I understand that chasing payments incur unnecessary costs for Cotswold Clubhouse and will mean my child’s place at the session is not guaranteed until payment is received.

• That I understand that the club’s preferred mode of payment is by BACS. If payment by cash or cheque cannot be helped, I will ensure that I get a receipt for my payment for future reference.

• That I understand that I shall incur and pay a late fee for every 15 minutes or part of which I am late collecting my child / children after 5:15pm. This late fee is charged at £5 for 15 minutes (so for example if you are 20 minutes late and don’t arrive until 5:35pm then you will incur a £10 late fee charge for the first 15 minutes and part of the second 15 minutes).

• If you are using either of the late collection options, you must be very prompt with collecting your child. Childcare provisions are made based on the number of children within this service and we will not be able to cover any children beyond the time booked for collection. Therefore, I understand that I shall incur and pay a late fee for every 15 minutes or part of which I am late collecting my child / children after 5:15pm. This late fee is charged at £5 for 15 minutes (so for example if you are 20 minutes late and don’t arrive until 5:35pm then you will incur a £10 late fee charge for the first 15 minutes and part of the second 15 minutes).

Attendance

• That I will ensure that my child attends sessions promptly, having with them their packed drink and lunch for the day.

• That I will inform Cotswold Clubhouse through 01451 263130 or admin@cotswoldclubhouse.co.uk of any absences of my child/children.

• That my child will not wear any jewellery, will have their hair neatly tied and will be wearing appropriate clothing for the activities of the day

• That I will collect my child personally from the door on time. I understand that Cotswold Clubhouse is unable to let participants leave the building without a suitable adult / parent collecting them. In order to safeguard our participants we are required to contact the Local Authority if your child is either, not collected regularly, or, more than 20 minutes late.

Other Matters

• That I should remind my child/children that they are expected to maintain a good standard of behaviour at all times and must treat all staff, coaches & fellow participants with respect. I also understand that should poor behaviour be displayed on a regular basis, the staff will contact me to ask that my child/children are collected. Further, I understand that should this behaviour continue my child/children will be asked to leave Cotswold Clubhouse.

• That any discipline matters or concerns should be discussed with the staff / coach or alternatively with a manager at a mutually convenient time.

• That I understand that parents are not allowed to enter the gym during the camp / session. If I need to get a message to my child / children that I will ask a member of staff and they will ensure that my child/children are advised accordingly.

• I understand that photography is not permitted at any time.

• That it is not acceptable to be abusive or rude to any member of staff at any time and that this will result in immediate cancellation of my child / children’s membership.

• That I will ensure that I have added admin@cotswoldclubhouse.co.uk and finance@cotswoldclubhouse.co.uk in my contacts list to avoid Cotswold Clubhouse emails going to the junk folder.

• That I will visit the Cotswold Clubhouse or NCGTA website for information from time to time: https://www.ncgta.co.uk and https://www.cotswoldclubhouse.co.uk

NCGTA Sessions:

North Cotswolds Gymnastics & Trampolining Academy (NCGTA) is now a limited company called Cotswold Clubhouse Limited.

As a member of British Gymnastics, we are required to comply to its policies which includes ensuring that all gymnasts should also be a member of British Gymnastics. Gymnasts should pay its fees on time.

Please make sure that we have a mobile number to contact you in case of an emergency and email address in order to contact you regarding billing, updates and any changes to disclaimer or policies, if necessary.

You agree, as a parent or guardian, that you drop off your child for their session and will not be permitted to enter the gymnasium while classes are taking place.

Parental photography or use of mobile phones is not permitted in gym sessions or classes.

You agree to (with the exception of initial trial session/s) to ensure your child wears the appropriate uniform for the class, with socks/trampolining shoes for trampolining and failure to do so may result in the child not being able to take part in any/all activities.

You agree to be billed for the term in advance by email (or printed bill by request in advance) and will pay promptly, or incur a 10% late payment fee.

Child participants (those under the age of 18) must have a parent or guardian sign a waiver/disclaimer before authorised to take part in any gymnastic or trampolining activity.

Adult participants (those over 18 years of age) must sign a disclaimer for before taking part in a gymnastic or trampolining activity.

The participant acknowledges and accepts that their participation in the activities provided by North Cotswolds Gymnastics & Trampolining Academy entails known and unknown risks that could result in physical or emotional injury, paralysis, death or damage to themselves to property or to third parties. N.C.G.T.A. and staff who work here will not be held responsible if an injury happens to yourself or your child.

Parties Terms & Conditions:

We’re here to help you throw your child a great party. In order to do this, please make sure you look through all terms and conditions and are happy before you get things booked.

•All party guests must be registered on a party guest list (submitted to us at least 48 hours before the party starts). Those booking a soft play party must read our Clubhouse Rules of Play and ensure all adults in the group are aware of and adhere to the rules whilst they and their child/children are on the premises.

•Party slots are limited and are booked on a first come, first served basis.

•An invoice will be issued to the organiser, once the details have been confirmed. Full payment must be made within 7 days of receiving the invoice. If there are any amendments to numbers, or requirements, then these must be paid in full, 2 weeks before the party date.

•Soft Play Parties at Cotswold Clubhouse are not exclusive unless booked as an out of hours Private Hire. However, we will allocate a room for your party which is exclusive to you for the party’s time slot.

•Cancellations up until 2 weeks prior to the party date will only be eligible for 50% of the party cost to be refunded. If, for some unforeseen reason, Cotswold Clubhouse have to cancel a party, all monies would be refunded.

•Cancellations less than 2 weeks before the scheduled start time are required to pay 100% of the full party balance.

•If there are adverse weather conditions and the party venue is unable to open on the day of the party, we can postpone the party to another date acceptable to both parties.

•Party bookings can be made for less than the minimum number of guests but will be charged for the minimum number of party guests.

•The party room must be vacated at the end of the Party time slot, to enable us to prepare for the following booking. We will give enough notice to do this – it will be your responsibility to ensure all of the groups property is removed by this time.

As the Party Organiser, you are responsible for:-

  • Ensuring that the details of your booking are correct and alerting Cotswold Clubhouse to any amendments required, in line with the Terms & Conditions of booking.
  • Making sure that we are aware of any additional needs for your party group.
  • You must remain within Cotswold Clubhouse at all times throughout the party.
  • Ensuring that all members of the party group are aware of our Rules of Play
  • Ensuring all children wear socks at all times on the play equipment or gymnasium equipment.
  • Confirmation of your party booking is based upon your acceptance and adherence of our Party Terms & Conditions. Our team are here to help – please ask if you need assistance.

Softplay Rules:

Cotswold Clubhouse is a clean, safe and secure environment for your little ones to play and have fun. We ask all visitors to stick to our Clubhouse Rules when visiting us, so that we can maintain a safe and enjoyable experience for all.

We have worked hard to control risks through the design and maintenance of our facility, so that children can feel free to play. However, it is impossible to eliminate certain risks involved with physical activity, such as tripping, falling and bumping into fixed objects and other children. Therefore, we ask that Parents/Guardians understand and accept this.

Parents and Guardians are solely responsible for the control, care and safety of their child/children at all times whilst at the Cotswold Clubhouse.

Restrictions

For the health and safety of all visitors, we have a height restriction of 1.5m and a max age of 11 years, on the play equipment.

Our Under 5’s soft play area is strictly for children aged 4 and under. It is the responsibility of the Parent/Guardian to ensure that children over this age do not play in this section.

Clothing

All visitors must remove shoes and be wearing socks to use the play equipment. Socks can be purchased from reception.

Children must remove spectacles (unless shatterproof), jewellery and any sharp and/or loose objects, including badges, before entering the play area. We advise that clothing with ropes cords and toggles should not be worn in the play area.

Activity

No food, drink or chewing gum is allowed on any of the play equipment.

Children must not stand upon, nor run up or down, the slides. The bottom of slides must be kept clear.

It is forbidden to climb on the netted walls or the system structure.

Balls must not be removed from the play areas

Accidents or Illness

In the event of any accident or injury please report to a member of the team. They will then record this in our accident book.

Children who are unwell should not use any of our play facilities.

No child or adult wearing any form of plaster cast may play or enter the equipment at any time.

General

We reserve the right to restrict play sessions to 2 hours during busy periods. This will be communicated to customers before payment is taken on reception.

To ensure the safety of our visitors any damage to play equipment must be reported to a member of staff whether deliberate or accidental.

Cotswold Clubhouse takes no responsibility for lost, damaged or stolen property whilst within the centre.

Only food and drink purchased at the Cotswold Clubhouse Café may be consumed on the premises.

Aggressive behaviour (verbal or physical) will not be tolerated and we reserve the right to remove anyone, child or adult, to leave if their behaviour is likely to threaten the safety or enjoyment of others.

Visitors are welcome to take pictures of their children, but when doing so we ask that you make every effort to ensure that you only take images of children that are in your group.

We have a strict no smoking policy at Cotswold Clubhouse. E-Cigarettes are not permitted inside the centre.

Admission to Cotswold Clubhouse is based upon your acceptance and adherence of the Clubhouse rules. We reserve the right to amend our rules of play at any time; these will always be kept up to date on our website.

Win a soft play party prize draw

• In order to enter you must complete the specific prize draw slip. Photocopies will not be accepted

• Tick the box on the form if you wish to be kept up to date with Clubhouse news and offers

• Entries are to be posted in at Cotswold Clubhouse Reception when coming to take part in a Clubhouse activity. We will not accept entries from people not using the Clubhouse facilities

• All entries must be received by 31st August 2018

• The winners name will be selected at random and will receive an email confirmation by Tuesday 4th September

• The prize is one free soft play party for up to 15 children. You can have additional children at the charge of £6.50 each. The party will have use of the party room for 2 hours – during which time the children can play in the soft play. Note, the soft play facility is only suitable for children aged 0 – 11 years. You can bring your own catering and we can offer refrigeration and heating facilities.

• The prize must be booked and used by the end of 2018. We cannot guarantee specific dates, as we already have parties booked in

• This prize cannot be exchanged for monetary value, nor any other activity in the Clubhouse

Soft Play Loyalty Card

• Remember to collect one stamp on your card for every paid visit to the Clubhouse soft play

• The soft play facility is for children aged 0 – 11 years

• One card per child must be used

• Once you collect 5 Cotswold Clubhouse stamps on your card, you can use the card on your next visit for one free soft play

• The card cannot be exchanged for the monetary equivalent and is not for resale

Coffee Loyalty Card

• Remember to collect one stamp for each hot drink purchased at the Clubhouse Café

• You may only receive a stamp when purchasing a hot drink from our coffee and tea range

• Once you collect 9 Cotswold Clubhouse stamps on your card, you can use the card to receive your 10th hot drink free

• Your free hot drink must be from our standard coffee and tea range

• The card cannot be exchanged for the monetary equivalent and is not for resale
